Office Manager and Paralegal

Description: 

The Office Manager is responsible for organizing and coordinating office administration and facilities maintenance at LAJC's Charlottesville office. The Office Manager works seamlessly across departments to ensure that administrative needs are met, including serving as a paralegal for advocacy programs; overseeing the client intake process; coordinating administrative support for attorneys, organizers, staff, and clients; and keeping office functions and equipment running smoothly.

Job Duties

  • Implement established policies and procedures and organize and coordinate a highly functional office space to ensure organizational effectiveness, efficiency, and safety
  • Oversee the client experience with the administrative team and ensure professional and respectful communications for anyone coming into the office
  • Maintain accessibility for staff in both availability and warmth of character, answer questions, and provide information about policies and procedures
  • Manage the office intake system, including ensuring that intake objectives are met and procedures run smoothly and coordinating front desk coverage
  • Keep in close communication with attorneys, organizers, and development staff to coordinate and provide administrative support and streamline the intake process
  • Coordinate with the IT department on all office equipment and repair
  • Manage relationships with vendors, service providers, and landlords, ensuring all items are invoiced and paid on time
  • Manage the office space and layout planning including coordinating office moves, changes to workstations, and provide answers, resources, and solutions as requested
  • Supervise administrative support positions and interns
  • Schedule meetings and prepare agenda, provide notetaking and follow-up communications, and perform other administrative duties as assigned

Location

This role will be based in our Charlottesville office. Occasional travel between offices will be required. The responsibilities of this role require this position to be on-site during core business hours most of the time; however, occasional remote work or flexible working arrangements are available with management approval.

Salary

Salary range is $60,000 to $75,000 based on years of relevant experience and LAJC’s formal salary scale.

Requirements: 
  • Strong commitment to social, economic, and racial justice
  • 5+ years of office management or comparable experience
  • Excellent time-management skills, ability to be flexible and multitask
  • Advanced computer skills and experience with online platforms
  • Proficient in Microsoft Office, with the ability to learn new software and systems quickly
  • Excellent written and verbal communication skills
  • Ability to build and maintain positive working relationships

Preferred Qualifications

  • Previous experience as a paralegal
  • Spanish language proficiency
  • Bachelor’s degree or equivalent experience
  • Experience in educating and coaching staff or leading teams
