Grants & Contracts Manager/Data Analyst


New Mexico Legal Aid (NMLA) seeks a Grants & Contracts Manager/Data Analyst to assist with data analysis and other administrative tasks in support of grant applications and reports, data analysis for service deployment and internal management reports.  The Manager will develop and implement data analysis reports for funders and for internal use by NMLA management and staff.  This is an ideal position for any individual looking for hands-on experience applying data research and analysis skills in a dynamic nonprofit environment.

NMLA has numerous grants at varying funding levels from local and national organizations and from local, state and federal government entities.  NMLA’s diversification and number of funding sources requires data collection/management, a high volume of reporting, and complex systems for tracking funding requirements and expenses.

Essential Functions:

  • Participate in the development of policies, procedures, and data reports that ensure NMLA delivers promised legal services for specific grants.
  • Provide data analysis to guide and monitor performance of grant objectives.
  • Assist the Executive Director and Chief Financial Officer in complying with grant requirements, including reports, billing, and data analysis as required by funders.
  • Prepare grant reports and ensure timely submission of reports. Coordinate with the financial department on all reporting to funders.
  • Maintain good working relationships with funder administrative staff.
  • Assist with preparation of grant proposals and renewal applications.
  • Monitor compliance with grant and contract requirements and with the laws, regulations, and program requirements governing such grants and contracts.
  • Coordinate responses to funder audits.  Respond to funders on inquiries and coordinate routine correspondence with funders.
  • Develop and maintain processes for reviewing and improving integrity of data.
  • Become familiar with NMLA’s case management system (LegalServer) and identify ways to accurately track and report case and client data.
  • Analyze case and client data for grants and for management reports.
  • Help to develop new, user-friendly ways to communicate data findings.
  • Manage client surveys process and analyze survey results. 
  • Provide links between program, finance, administration and all other staff to ensure that all grant activities are smoothly implemented.
  • Keep informed of best practices in the grants management field and recommend improvements to the grants management process.
  • Develop and maintain a grant reporting calendar.
  • Monitor time reports filed by staff assigned to each grant and reports workload information to administrative staff.
  • Ensure that management and staff receive relevant and appropriate information to understand grant requirements; and work with administrative staff to ensure that staff are properly allocating their time to meet applicable requirements for grant and contract deliverables.
  • Gain familiarity with Legal Services Corporation ( regulations and restrictions and New Mexico Legal Aid Board policies and procedures and their applicability to grants management and data analysis tasks.
  • Help to prepare instructions regarding the requirements and processes for correctly entering client and case data in NMLA’s on-line case management system. 
  • Attend training as needed.
  • Other duties as assigned.


  • Bachelor’s degree in related field or commensurate experience is required.  Master’s degree in Public Administration or Public Policy is a strong plus.
  • 3+ years related experience; grants administration and/or data analysis and reporting experience required.  Graduate school work may substitute for experience.
  • Strong analytical, quantitative analysis, verbal and written skills are required as is attention to detail, accuracy and presentation.
  • Must be organized, able to prioritize work, able to multi-task and handle multiple responsibilities.
  • Experience using the Microsoft Office suite (Excel in particular) is required. 
  • Programming experience with relational databases and database software preferred. 
  • Familiarity with social/economic online databases (Census in particular) is preferred.
  • Ability to work with a minimum of supervision; ability to work as a member of a team and independently.
  • Strong interpersonal skills.
  • Must maintain strict confidence regarding highly sensitive matters.
  • Able to address issues on a timely manner.
  • Ability to take initiative and be a leader.
