LEGAL AID SOCIETY OF NORTHEASTERN NEW YORK EXECUTIVE ASSISTANT
The Legal Aid Society of Northeastern New York (LASNNY) is seeking a full-time Executive Assistant to support the organization’s Executive Director (ED). LASNNY is service law firm serving low and moderate-income households in 16 counties in northeastern New York from offices in Albany, Amsterdam, Canton, Plattsburgh and Saratoga Springs. This position is located in our Albany office.

The Executive Assistant will be responsible for performing the following duties: 1. Perform as necessary all the responsibilities of assistant to the Executive Director, including to type and proofread all the ED’s correspondence and other written work. Prepare this work with dispatch from handwritten drafts, notes, or electronic dictation. 2. Under the broad direction of the ED, exercise discretion and judgment in conducting projects relevant to the program’s management and that would otherwise have to be done by the ED. 3. On behalf of the ED, maintain relations with a wide range of diverse persons and groups, including members or representatives of the LAS Board, funding sources, LSC, other Legal Services Programs, human services agencies, LAS staff, public officials and the media, among others. In the absence of the ED or to save her/his time, use independent judgment consistent with established guidelines and the need for retaining effective diplomatic relations. 4. Schedule and organize meetings (reservations, location, set-up, food), prepare meeting agendas, materials, reminders and minutes, schedule calls, travel, conferences, trainings and work independently or as part of a team, at the request of the Executive Director, on special non-recurring projects and ongoing projects, which may include planning, coordinating presentations, presenters, mailings and creating or gathering brochures, print materials and visual presentations. 5. Using the organization’s credit card, take responsibility for making travel and hotel arrangements for staff. 6. Assist in the basic administration of the program by, e.g., updating Sharepoint, maintaining the corporate records book, arranging meetings and events, filing grant applications and reports and participating in community events. 7. Responsible for administration of grants, including submission of grants in required form, data collection and grant reporting. 8. Compose original non-legal work product pursuant to instructions and, where requested, subject to review. 9. Set up and maintain, for the Executive Director, her appointments, deadlines and other due dates. Remind Executive Director sufficiently in advance of same. 10. Respond to needs of the Executive Director and handle as much of the administrative detail work as possible. 11. Open, maintain administrative and other files (paper and electronic) for the Executive Director. Regularly file materials therein. Maintain an electronic file of important documents, e.g., grant award letters, financial documents, leases, deeds and other real estate transactions 12. Prepare for and mail outgoing Executive Director mail, and sort, date stamp and distribute incoming Executive Director’s mail, subject to the office or LAS policy. 13. Be a notary public and perform such duties as needed. 14. Must be available to work overtime when requested/needed


Compensation The Executive Assistant position will pay an annual salary of up to $49,000 (depending on experience) plus overtime. LASNNY offers excellent benefits including medical, dental, and vision coverage, a retirement savings plan, and generous time off.

Requirements: 

Qualifications • BA Degree plus 3 years as an Administrative or Executive Assistant, or 8 years administrative/executive assistant experience. • Prior experience working with low income people or low-income communities. • Excellent Office 365 skills, especially PowerPoint, Excel. • Type 60 wpm. • Responsible, hardworking, good judgment, tech-savvy, strong multi-tasker.
