Accounting Assistant

The Accounting Assistant supports the Accounting department by performing clerical tasks, including processing and recording transactions, preparing reports and budgets, fielding communications with accounting staff, fact-checking, filing, and other duties, as needed. The Accounting Assistant is under the direct supervision of the CFO or their designee.
Responsibilities include:

Receives incoming mail and distributes it to the proper departments and or personnel.

Deposits checks and cash received daily to the bank.

Assists with weekly cash disbursement duties (check runs)

Prepares weekly vouchers with proper stamping and assists in coding vouchers, invoices, and claims for payments in accounts payable and employee reimbursement.

Files accounting documents.

Enters financial transactions into internal databases including Reever and MIP.

Maintains digital and physical financial records, makes copies, and scans documents as requested.

Provides accounting and clerical support to the accounting department (such as data entry for general ledger and payroll).

Assists in reconciling invoices and identifying discrepancies on invoices in a timely manner.

Assists in running monthly financial reports.

Responsible for keeping paper and supplies in copier, fax machine, adding or refilling postage meter, and notifying the proper person when maintenance is needed.

Stocks and requests mailroom supplies.

Prepares outgoing mail and delivers to US Post Office, FedEx, etc.

Assists in quarterly and annual audits.

Assists in conducting inventory.

Other duties as assigned by the CFO or other accounting manager.

Qualifications:

Preference given to persons with high school degree or equivalent

Licensed Texas driver

Proficiency in MS Office, databases and accounting software(s)

Experience working with Excel spreadsheets

Experience working with Teams, Zoom and other meeting platforms;

Ability to travel on an as needed basis.
